How to Produce and Provide Technical Support for Communispond Virtual Programs on Zoom

Before the Program
Several Weeks Before the Program
- Ask John Bradley to give you Communispond Digital access keys for the participant and facilitator versions of the program you are supporting.
- Create a free Zoom account (if you don't already have one).
- Download the Zoom Client for Meetings (if you haven't already) and install it.
- Pin the Zoom Client for Meetings to your computer's desktop, Start screen, or taskbar.
- Ask John Bradley or Andrea Potapovs which Zoom account to use for this program and the password for that account.
- Sign in to the Zoom with the assigned account.
- Ask John Bradley to make you an agent on Communispond's Freshdesk account. (If you are a Communispond partner, you may need to set up your own system for receiving, tracking, and responding to help requests and other communication from participants.)
- Make sure you have a recent-model computer with:
- a working camera, microphone, and speakers
- plenty of RAM
- the latest version of Windows 10 or MacOS
- Make sure you have a stable, high-speed internet provider. We strongly recommend an optical fiber provider where possible. A cable provider may be acceptable. DSL and satellite providers are not acceptable.
- Make sure your computer has a fast and stable connection to an internet modem. We strongly recommend an Ethernet connection rather than Wi-Fi.
Two or Three Weeks Before the Program
One Week Before the Program
One Day Before the Program
- Send an email to participants reiterating how to access the session and reminding them to complete the pre-program assignment.
- Respond to Freshdesk tickets initiated by participants.
- Hold a pre-flight meeting with the facilitator in the Jigsaw session.
During the Program
- Meet the facilitators in the Zoom 1 hour before the scheduled start.
- Provide technical support to facilitators and participants as needed.
- At the beginning of each participant, "take," start recording to the cloud.
- At the end of each take, stop recording.
After the Program
- Download all participant recordings from Zoom.
- Rename the recordings with the name of the participant and the number of the "take" (for example, George Jetson 1).
- Put the recording in a Dropbox or other cloud storage folder and send the link to Jim Moushon.
